Format Cells

  • We use excel to store the lots of data in the sheet.
  • Each data type as particular format.
  • To make cells according to the required format we use Format Cells.
  • Below are steps to open the format pop-up.
  • In home screen.
  • Right most side click format.
  • In drop down list, select the format cell.
  • Pop-Up window appears with format options.
Below the formats available in excel.
  • General
  • Date
  • Time
  • Currency
  • Percentage
  • Number
  • Text
  • Special
  • Fraction
  • General:
    Default format of the excel.
  • Date:
  • By default in excel date appears as dd:mm:yy(01-02-2017).
  • Through cell format you can display date of your own style.
  • Below are the formats you need to know while you are setting date format.
  • d,m - Displays a day and month  number without zero .
  • dd,mm,yy- Displays the day,month and year number with zero.
  • mmm-displays month with abbrevation.
  • dd,mmmm,yyyy- Displays the full date, month and year. 
  • Time:
  • By default in excel date appears as h:mm:ss (8:12:12)
  • Below are the format you need to know while you are setting time format.
  •  h,m,s - displays the hour, minute and second as a number without zero
  • hh,mm,ss- displays hour,minute and second as a number with zero 
  •  am/pm- 12 hours format.
  • Currency:
  • Used for representing currency data sheet.
  • Following feature available in currency.
  • Number of Decimal Places.
  • Currency Symbol.
  • Negative Numbers
  • Percentage:
  • Used for displaying the percentage.
  • Following features available in percentage format.
  • Multiply existing number by 100.
  • Displays with Percentage 
  • Number:
  • Used for displaying the numbers.
  • Following features available in number format.
  • Number of decimals
  • Thousand separator.
  • negative number format 
  • Text:
  • Every thing in the cell is treated as text format including numbers. 
  • Special: 
  • This is for displaying address formats. 
  • This is for displaying address formats. 
  • Zip Code : Displays the zip code format.  
  • Zip Code: Displays the zip code with extra four numbers.
  • Phone Number: Displays the number in number format. 
  • Social Security Number: Displays the number according to social security format.  
  • Fraction:
  • We use fraction for displaying the excel in fraction format.
  • Below are the features available in fraction format.
  • One digit
  •  Two Digit
  • Three Digit
  • As Halves(1/2)
  • As Quarters(2/4)
  • As Eights(4/8) 
  • As Sixteenths(8/16)
  • As Tenths(1/10)
  • As Hundreds(1/100) 
  • Custom:
  • For customizing the more formats we use the custom function.
